Responsible to: Group Financial Director

Responsible for: Administration Team

Work Times: 9:00am to 5:00pm (Monday to Friday).   A degree of flexibility will be needed at peak periods.              

Person Specification

In this role, you will provide administrative, operational and coordination support for SHD Group.

Key Responsibilities

  • Working in accordance with Company Quality and Health & Safety procedures at all times

  • Managing the smooth running of the Administration team

  • Answering and distributing company phone calls

  • Scanning and filing as required

  • Ordering miscellaneous items on credit card, and on account

  • Supporting the maintenance team with administrative tasks

  • Assist with fleet car management

  • Assist with company travel bookings

  • Assist with company uniform

  • Assist with visitor support onsite e.g. making drinks/lunches

  • Manage meeting room calendars

  • Support with environmental data reporting

  • Manage visitor management system

  • Manage key holder list

  • Manage alarm fobs, reprogramming as required

  • Manage external contracts, including phone, utility, security, printing and cleaning

  • Support Directors with lease and insurance documentation, stored in an organised manner, and provide required information at renewals

  • Manage offsite archiving

  • Manage regular Premises Meetings

  • Liaise with external IT support to ensure the smooth running of the IT network

  • Manage IT/office equipment asset register

  • Manage office, premises and IT budgets

  • Manage new user setup with new user forms, setting up devices and access as required

  • Procurement of IT devices/infrastructure and management of stock

  • Monthly bill analysis for intercompany cross charging

  • To undertake any other duties from time to time as can be reasonably requested by the company.

  • Self-motivated and able to prioritize own workload

  • High attention to detail

  • Reliable, dependable and well organised

  • Capable of working to agreed procedures, and to tight deadlines

  • Ability to work under pressure

  • Excellent written and verbal skills

  • Experience of supervising and leading staff members

  • IT literate with excellent knowledge of Word, Excel, PowerPoint & Publisher
